This Privacy Policy explains how Clopos MMC (“Clopos”, “we”, “us”, “our”) collects, uses, stores and protects the personal data of users and customers of the Clopos POS restaurant management software and related services (together, the “Services”).

By using our Services, you agree to the terms of this Privacy Policy.

1. Information We Collect

1.1 Account information: first and last name, company name, email address, phone number, tax identification number and registered address.

1.2 Payment information: billing and payment details processed through our payment provider. Clopos never stores full payment card numbers.

1.3 Operational data: sales, orders, menu items, inventory, staff and customer information that you input into the Services.

1.4 Technical data: IP address, device identifiers, browser type, operating system, log files and usage statistics for the Services.

1.5 Communications: messages you send to our support, sales or marketing teams.

2. How We Use Information

2.1 To provide, maintain and improve the Services.

2.2 To create accounts, authenticate users and safeguard the security of the Services.

2.3 To process payments, issue invoices and maintain accounting records.

2.4 To deliver technical support and respond to your requests.

2.5 To send service updates, technical notices and, where you have opted in, marketing communications.

2.6 To prevent fraud and abuse, and to comply with our legal obligations.

3. Sharing Information With Third Parties

3.1 We do not sell or rent customer data to third parties.

3.2 We may share data with third parties only in the following circumstances:

  • Trusted service providers that help us operate the Services (for example, cloud hosting, payment processing, analytics), under contractual confidentiality obligations.
  • Government authorities when required by the laws of the Republic of Azerbaijan or other applicable law.
  • In connection with a merger, acquisition or sale of assets, in which case you will be notified.

4. Data Storage and Security

4.1 Data is stored in encrypted form in certified cloud infrastructure.

4.2 Access is restricted on a role basis and reviewed regularly.

4.3 Network traffic is protected with TLS/SSL encryption.

4.4 Regular backups are taken and recovery procedures are tested.

4.5 In the event of a data breach we will notify affected parties within the timeframes required by applicable law.

5. Data Retention

5.1 Customer data is retained while your subscription is active.

5.2 If a license payment is overdue, data is retained for 6 (six) months and then deleted from the system.

5.3 Certain records may be retained longer to comply with accounting, tax or other statutory obligations.

6. Cookies and Similar Technologies

6.1 Our website and dashboard use cookies and similar technologies for session management, preference storage and analytics.

6.2 You can disable cookies in your browser settings, but doing so may limit some functionality of the Services.

7. Your Rights

Subject to applicable law, you have the right to:

  • Access your personal data and request a copy of it.
  • Ask us to correct inaccurate or incomplete data.
  • Request deletion of your data in certain circumstances.

We may update this Privacy Policy from time to time. Material changes will be posted on our official website and, where appropriate, communicated to you by email. Continued use of the Services means you accept the updated terms.
